An Integrated Approach to Community Services Printable Format

"Social services in this country", says Te Whanau o Waipareira Trust project manager Lloyd Millar, "have traditionally been delivered with a silo mentality." Families need a total approach. youandi tracks families' changing needs as services are delivered and allows other agencies working in the field to access that information. Levels of access are set to protect confidential personal information.

The trust uses the holistic picture it gathers through youandi to monitor and deliver services appropriately and as leverage when negotiating with the Government for new and extended contracts.

     

The Business Challenge

Te Whanau o Waipareira wanted to lead the way among community organisations in delivering integrated services, but first the trust had prove it could integrate its own systems for sharing information, within the trust's 10 offices and with other agencies.

Why Te Whanau O Waipareira Trust Chose youandi

“We looked at other options that were SQL-backed or Access types,” says Lloyd. “Some were possibly easier to enter data into but youandi had a more powerful engine, it had better security features and was web-based, which we saw as an advantage given that we have multiple sites.

“Incubator showed us the basic product. We gave them examples of how we wanted to make it more human. They gave us the confidence that they could deliver.”

Incubator also offered to host the trust's database on its server until the trust is ready to launch youandi on its own intranet.

How youandi Benefits a Community Organisation

  • Reporting against contracts. The trust has contracts with the Government and with providers of services. youandi 's reporting component gives an accurate picture of those contracts and is an effective tool in negotiating further contracts.
  • Working collaboratively. Logins can be provided to associated agencies such as Maori Women's Welfare League and Women's Refuge, allowing these agencies to share information.
  • Protecting sensitive information. Access levels can be set to protect sensitive information, particularly details of victims of domestic violence, and users are given either ‘read only' or ‘edit' privileges.
  • Tracking changing needs. Previously a mountain of paperwork was generated to track the individual and changing needs of each family. Now, youandi holds that information in its centralised database.
  • Monitoring field staff activity. “Managers can get a great overview of what field staff are doing,” says Lloyd. “We can assist them to make the most effective use of their time. We can also track who has been accessing information.”
  • Improved service planning. Service planning and decision-making will be enhanced with youandi 's ability to collate and transform organisation-wide data into meaningful information.
  • Improved service levels. “Our customers should notice their needs being met in a more timely manner,” says Lloyd. “At the moment we rely on phone calls and written messages. When staff are out and about these can take time to be responded to. Centralised access to information will reduce that time lag.”
