Securing the Future for a Growing Security Company Printable Format

The security business, according to CDP's co-director Cameron Slater, is steeped in the past. It's an industry that has always relied on paper and pens, folders and files in which to store copious quantities of customer information. Opening up to the possibility of one online management system was a radical move.

Today, almost every task at CDP is managed through youandi, resulting in company-wide improvement and efficiencies. Driver run-sheets can be updated automatically and are visible in the control room, control room operators can call up accurate site information and log incidents at the touch of a button. Incident reports sit on a designated home page, making distribution of hard copies around the office redundant and increasing security of information.

     

The Business Challenge

CDP's business had outgrown being manageable on paper. “Pen and paper works when you have 100 clients but you try it with 2,700,” says Cameron. The company realised that, in order to move forward it had to embrace technology, work through the resistance to change and bring its staff up to speed with using an entirely different management system.

Why CDP Chose youandi

Incubator brought youandi to CDP and demonstrated its capabilities. “We knew it could be tailored for our needs, which is to have 24/7 access to information,” says James Mahika, the company's project manager. “And we could add on to it as it was developed.” Additionally, 75 per cent of CDP's staff are field staff so youandi 's mobility as a web-based tool accessible by any driver from any site was ideal.

  • Client information instantly. As the core of CDP's business, youandi holds all the customer and site information, along with their security provisions. Over time, the information on the company's client database has increased.
  • Online functionality. All field staff have instant access to the database through their mobile computing systems.
  • Automated run-sheets. CDP has 12 cars on the road at night. Previously, each driver had an individual spreadsheet with site specifications. Each time a driver, site or operation changed the hard copy spreadsheet became redundant. Now, with a customised youandi run-sheet, the information is updated automatically and visible back in the control room. This makes for more informed, on-the-spot decisions.
  • Efficient control room operation. Operators once used an RT, pen and paper to log incidents. Now control room operators, when they receive a call from a monitoring company, enter the site through youandi and the information comes up automatically. No more distributing paper copies of the incident around the building, saving time, and paper and printing costs, plus the possibility of information going astray or being seen by an unauthorised person.
  • Increased computer literacy. Existing staff at CDP are now computer literate and when new staff are recruited they must be able to touch type and be PC literate. “Their communication skill level has increased,” says Cameron. “And that's revolutionised the place.”
